Privacy policy

Some countries and regions require that we provide information in a specific format and/or with references to the specific legal basis for processing your personal data. Where relevant, references to EU Regulation No. 2016/679 (GDPR) are included below.

What information do we collect about you?

We only use your personal data when permitted by law. Below are the most common situations in which we collect and use your personal information.

Managing our relationship with you

  • Job title: To understand your professional background and tailor educational content accordingly.
  • Email address: To communicate important updates, learning resources, and platform-related information.
  • Organisation name and address: To understand your affiliation and tailor our services to your context.

We may also retain relevant, non-sensitive interaction data shared with us through your use of the platform. We process this information to pursue our legitimate interest in managing our relationship with you, carefully ensuring that our interests do not override your interests, fundamental rights and freedoms (GDPR Art. 6(1)(f)).

When you use TPI as a learning platform, we collect certain information to personalise your experience and improve our educational offerings:

  • Learning preferences and interests: To recommend relevant content and resources.
  • Usage data: How you navigate and interact with courses, articles, and other materials on the platform.
  • Webinar and event participation: Including your email address, organisation name, job title, and engagement with the specific content.

We process this information to pursue our legitimate interest in providing a relevant and effective learning experience. We carefully assess that this interest does not override your rights and freedoms (GDPR Art. 6(1)(f)). For events and webinars, we also process information to fulfill our contractual obligation to provide access to registered participants (GDPR Art. 6(1)(b)).

Newsletter and communications

If you have given your consent to receive communications from TPI, we will use your contact information to send you educational updates, research highlights, and news about the microbiome field.

You can withdraw your consent at any time by clicking the unsubscribe link in any communication, or by contacting us at privacy@novonesis.com. Withdrawing consent does not affect the lawfulness of processing carried out prior to withdrawal.

Digital platform and website

When you visit tpi.com, we automatically collect technical data to improve platform performance and your experience:

  • Technical data: Including your IP address, browser type and version, device information, operating system, time zone, and location.
  • Usage data: Pages visited, content viewed, time spent, and navigation patterns.
  • Login data: If you register for an account, we collect your username and credentials to ensure secure access.

We process this information to pursue our legitimate interest in operating and improving the platform (GDPR Art. 6(1)(f)).

Audience targeting and remarketing

TPI uses tracking technologies to help us reach relevant professional audiences on paid and social media platforms. This activity is carried out solely to promote our educational content and resources — not to sell products or services.

We do not share directly identifiable information with these platforms unless you have explicitly consented to such sharing. Specifically, we may use browsing behaviour, content engagement signals, and platform interaction data to create audience segments. These segments are shared with third-party platforms such as LinkedIn, Meta (Facebook and Instagram), and Google, which use an an unreadable, hashed or otherwise disguised version of the data, which they use solely to identify people with similar professional interests.

The platforms are required to delete this data as soon as the audience matching process is complete, in accordance with their own privacy policies. We do not permit them to use this data for any other purpose, and we never share more information than what is strictly necessary for the above purposes.

We process this data based on your consent to the use of cookies and similar tracking technologies, which you can manage at any time via our Cookie Preference Centre. If you would prefer that your data is fully excluded from audience targeting activities, please contact us at privacy@novonesis.com.

The subsequent use of the collected data to promote our educational content and increase awareness of TPI is based on our legitimate interest in ensuring that our content reaches relevant professional audiences (GDPR Art. 6(1)(f)).

Aggregated data

We may collect, use, and share aggregated statistical data derived from your personal data. Aggregated data does not directly or indirectly reveal your identity and is therefore not considered personal data under applicable law. For example, we may aggregate usage data to understand how visitors engage with specific learning modules or content categories.

We do not collect special categories of personal data, such as data relating to health, race or ethnicity, religious beliefs, political opinions, or biometric data.

How is your personal data collected?

We collect your personal data through the following means:

  • Direct interactions: When you fill in registration forms, subscribe to our newsletter, register for events, or contact us directly.
  • Automated technologies: When you visit tpi.com, we automatically collect technical and usage data via cookies, server logs, and similar technologies. Please refer to our Cookie Policy for further detail.
  • Third-party platforms: We may receive technical and analytical data from platforms including Google Analytics, LinkedIn Analytics, Meta Pixel, and similar advertising and analytics tools.

Cookies

Cookies are small text files placed on your device that collect standard internet log information and visitor behaviour data. We use cookies to understand how visitors use the platform, personalise your experience, and enable our audience targeting activities described above.

You can customise your cookie preferences at any time via our Cookie Preference Centre. Please be aware that disabling certain cookies may affect the functionality of some parts of the platform.

For full details of the cookies we use, please refer to our Cookie Policy.

Disclosure of your personal data

We may share your personal data with internal teams within the Novonesis Group and with trusted third-party service providers, including IT service providers, analytics platforms, email service providers, and advertising platforms. Such sharing is done to:

  • Operate and improve the TPI platform (GDPR Art. 6(1)(f)),
  • Fulfill our obligations to registered users (GDPR Art. 6(1)(b)),
  • Comply with applicable legal or regulatory obligations (GDPR Art. 6(1)(c)).

We require all third parties to respect the security of your personal data and treat it in accordance with applicable law. Third-party service providers are only authorised to process your data for specific, agreed purposes and in accordance with our instructions. A list of third-party service providers is available upon request.

Data security and international transfers

We have implemented appropriate technical and organisational measures to protect your personal data against accidental loss, unauthorised access, alteration, or disclosure. Access to your personal data is limited to individuals with a legitimate need, who are bound by confidentiality obligations.

Your personal data may be transferred to, and processed in, countries outside the European Economic Area (EEA). In all such cases, we ensure that appropriate safeguards are in place — such as the EU Commission's Standard Contractual Clauses — to ensure a level of protection equivalent to that within the EEA. You may request a copy of the relevant transfer mechanisms by contacting us at privacy@novonesis.com.

How long do we keep your personal data?

We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, including satisfying any applicable legal, accounting, or regulatory requirements. When determining the appropriate retention period, we consider the nature and sensitivity of the data, the potential risks of unauthorised use or disclosure, and the purposes for which we process the data.

Once the applicable retention period has expired, your personal data will be securely deleted from all systems within the Novonesis Group.

Under applicable data protection legislation, you have the following rights in relation to your personal data. To exercise any of these rights, please contact us at privacy@novonesis.com.

  • Right of access: You may request a copy of the personal data we hold about you.

  • Right to data portability: In certain circumstances, you may request your personal data in a structured, commonly used, and machine-readable format.
